1. About this manual

3. Categories of records held
In the ordinary course of business, Con Leche holds the following categories of records:
- Customer / loyalty programme records — name, email, phone number, order history, and Pase de Café stamp/reward data (see our Privacy Policy for full detail).
- Financial records — payment and transaction records, invoices, and accounting records.
- Website & account records — accounts created on this site, session and security logs.
- Correspondence — emails, WhatsApp messages, and contact-form submissions with customers and suppliers.
- Employment records — records relating to staff, where applicable.
Some of these records contain personal information and are processed in accordance with POPIA — see our Privacy Policy for how, why, and how long we keep them.
4. Records available without a formal request
The following are already publicly available on this website and don't require a PAIA request:
- Our Terms & Conditions
- Our Privacy Policy
- This PAIA Manual
- Our menu, pricing, and current specials
5. How to request access to a record
To request access to a record not listed in section 4, submit a written request to the Information Officer above, using the prescribed PAIA request form, including:
- Sufficient detail to identify the record requested;
- Your name, contact details, and the form in which you'd like the record provided;
- The reason you're entitled to access, if requesting access to someone else's personal information.
We'll respond within the timeframes PAIA prescribes. A prescribed request fee, and — where the request involves reproducing or searching for records — an access fee, may apply per the regulations published under the Act.
6. POPIA — record of processing
Section 17 of POPIA requires this manual to also describe, at a high level, how personal information is processed. That detail lives in our Privacy Policy, which covers what we collect, why, how long we keep it, and your rights under POPIA — this manual should be read together with it.
